BOOKING Terms & Conditions

These Booking Terms & Conditions ("Terms") apply to travel planning and booking services provided by Stone Travel Company, LLC ("Stone Travel Company," "STC," "we," "us," or "our"). By signing, electronically accepting, authorizing payment, or making a deposit toward travel arrangements through STC, each traveler ("Traveler" or "you") acknowledges and agrees to these Terms, together with applicable trip-specific terms and the terms of the independent travel suppliers involved in the booking.
1. ROLE OF STONE TRAVEL COMPANY AND TRAVEL SUPPLIERS
Stone Travel Company acts as a travel advisor and intermediary in arranging travel services provided by independent third-party suppliers. These suppliers may include tour operators, airlines, cruise lines, hotels, resorts, transportation companies, excursion providers, guides, insurance providers, and other travel-service providers ("Suppliers").
STC does not own, operate, manage, or control these Suppliers and does not guarantee their acts, omissions, schedules, services, financial condition, or performance. Each Supplier's own terms, conditions, tariffs, contracts, cancellation policies, and rules may apply to the services it provides.
When trip-specific or Supplier-specific terms differ from these general Terms, the trip-specific or Supplier-specific terms disclosed to the Traveler control for that portion of the booking.
2. QUOTES, PRICING, AND AVAILABILITY
Travel quotes are based on the information and availability existing when the quote is prepared and are subject to change until the applicable Supplier confirms the reservation and required payment is received.
Airfare, hotel rates, taxes, fuel surcharges, exchange rates, government fees, and other travel costs may change before confirmation. STC will make reasonable efforts to communicate material pricing changes before processing payment or confirming an arrangement.
Unless expressly stated otherwise, prices are per person and are based on the occupancy, itinerary, inclusions, and departure arrangements identified in the trip proposal, registration page, Trip-Specific Terms & Pricing Acknowledgment, or booking confirmation.
3. PAYMENT
All travel arrangements must be paid in full prior to departure. Payment deadlines vary by trip and Supplier; however, final payment is generally due 90-120 days before departure. The payment schedule provided for a specific trip controls if it differs from these general Terms.
STC accepts approved forms of payment communicated at booking, which may include cash, check, or credit card.
Credit card payments may be subject to a 3.5% processing or service fee where permitted by applicable law and card-network rules. Any applicable fee will be disclosed before payment is processed.
Failure to make a required payment by the applicable deadline may result in cancellation of the reservation and the application of cancellation penalties or loss of previously paid amounts.
4. DEPOSITS
Unless otherwise stated in the specific trip's booking terms, a $500 per-person non-refundable deposit is required to secure a reservation.
Certain Suppliers, airfare arrangements, cruises, tours, accommodations, group contracts, or special arrangements may require a different or additional deposit. Supplier-specific deposit requirements disclosed for a particular booking control.
Payment of a deposit constitutes acceptance of these Terms and any trip-specific or Supplier-specific terms provided or made available in connection with the booking.
5. CANCELLATION BY THE TRAVELER
All cancellation requests must be submitted to STC in writing. The effective cancellation date is the date STC receives the written cancellation.
Unless different cancellation terms are disclosed for a particular trip, STC's general cancellation schedule is:

More than 90 days before departure: $500 per person
45-90 days before departure: 50% of land costs
30-44 days before departure: 75% of land costs
Fewer than 30 days before departure:100% of land costs
These cancellation charges are in addition to any non-refundable amounts, cancellation penalties, change fees, or other charges imposed by Suppliers. A Supplier may impose a stricter cancellation schedule, including a 100% non-refundable requirement earlier than the schedule above. When disclosed, the Supplier's terms control for amounts paid or owed to that Supplier.
Refunds, credits, or future travel credits, when available, are subject to the applicable Supplier's rules and processing timelines. STC cannot guarantee that a Supplier will issue a refund or credit.
No refund will be provided by STC for unused portions of a trip after travel has begun unless expressly authorized by the applicable Supplier.
6. AIRFARE, AIRLINE CHANGES, AND CANCELLATIONS
Airline tickets and group air arrangements are governed by the rules and conditions of the issuing airline and, when applicable, the tour operator or consolidator providing the air arrangement. Tickets may be non-refundable, non-transferable, and subject to change, cancellation, name-correction, seat-assignment, or baggage fees.
Group airfare may be subject to separate deadlines for deposits, passenger names, final payment, ticketing, changes, and cancellation. Airline schedules, routings, aircraft, seat assignments, and airports may change without STC's control.
Any airline refund, credit, or future travel credit is subject to the airline's rules and is not guaranteed by STC.
7. ACCOMMODATIONS AND ROOMING
Unless otherwise stated, trip pricing is based on double occupancy. Single supplements and other rooming arrangements may be available at an additional cost and are subject to availability.
When requested, STC may assist Travelers seeking a roommate. STC does not guarantee roommate availability or compatibility and is not responsible for disputes or issues between roommates. If a roommate becomes unavailable, the remaining Traveler may be responsible for a single supplement or other additional cost imposed by the Supplier.
Hotels and accommodations are selected based on factors that may include itinerary, availability, location, group requirements, quality, and trip budget. Specific properties may be substituted by a Supplier when circumstances require.
8. ITINERARIES, SCHEDULES, AND CHANGES
Travel itineraries are subject to change due to airline schedule changes, weather, transportation disruptions, Supplier availability, governmental action, operational requirements, safety considerations, force majeure events, and other circumstances.
STC may make or communicate reasonable modifications to an itinerary when necessary and will make reasonable efforts to notify Travelers of material changes.
If an itinerary change requires additional accommodations, transportation, meals, or other services not included in the original trip price, Travelers may be responsible for those additional expenses unless the applicable Supplier agrees otherwise.
Traveler-requested deviations or changes must be submitted in writing no later than 90 days prior to departure unless the trip-specific terms provide a different deadline. Requests are subject to availability, Supplier rules, and applicable fees or fare differences.
Unless otherwise stated for a particular trip, tours are considered finalized 60 days prior to departure, after which Traveler-requested additions or modifications may not be accepted.
9. PASSPORTS, VISAS, ETAs, TRANSIT, AND ENTRY REQUIREMENTS
Each Traveler is solely responsible for obtaining, maintaining, and carrying all documentation required for the complete itinerary, including a valid passport, visas, electronic travel authorizations (ETAs), transit visas, tourist permits, health documentation, parental-consent documents, and any other documents required by countries visited or transited.
Passport validity and blank-page requirements vary by destination. Some destinations require a passport to remain valid for a specified period beyond the planned return date. Travelers are responsible for verifying the requirements applicable to their citizenship, passport type, itinerary, length of stay, and purpose of travel.
Travelers must ensure that the full legal name, date of birth, nationality, and other identifying information supplied to STC match the passport or government-issued identification that will be used for travel. Corrections made after ticketing or confirmation may result in fees, fare increases, cancellation and rebooking, or an inability to make the requested change.
Entry, transit, health, and exit requirements are established by governments and other authorities and may change at any time. STC may provide general information, reminders, or links as a convenience, but Travelers remain responsible for verifying current requirements with the appropriate government authorities, embassies, consulates, airlines, cruise lines, or other responsible entities.
STC cannot guarantee that a Traveler will be permitted to board transportation, enter or transit a country, or participate in a travel program. Final decisions regarding boarding, immigration, transit, and admissibility are made by airlines, governments, border authorities, and other responsible authorities.
Failure to obtain or carry required documentation may result in denied boarding, denied entry or transit, missed activities, cancellation, or additional expense. Any resulting cancellation is subject to the applicable cancellation terms, and the Traveler may be responsible for additional transportation, lodging, meals, or other costs.
10. TRAVELER INFORMATION AND ACCURACY
Travelers must provide accurate legal names, dates of birth, contact information, and other information requested for booking. The Traveler is responsible for reviewing confirmations promptly and notifying STC of errors or discrepancies.
STC may rely on the information and written or electronic booking authorizations provided by the Traveler. Name corrections or changes after a reservation is confirmed may result in Supplier fees, fare increases, cancellation and rebooking, or the inability to make the requested change.
11. TRAVEL PROTECTION / TRAVEL INSURANCE
Travel protection is strongly recommended for all Travelers.
Depending on the policy or plan purchased, travel protection may provide benefits for covered circumstances such as trip cancellation, trip interruption, medical expenses, emergency evacuation, travel delay, or baggage loss or delay. Coverage, exclusions, limitations, eligibility requirements, purchase deadlines, and claim procedures vary by policy or plan.
STC does not guarantee that a travel protection policy or plan will cover a particular event or loss. Coverage and claim determinations are made by the insurance company, plan administrator, or other responsible provider under the applicable plan documents.
Travelers should carefully review the policy or plan documents before purchase. STC may require the Traveler to make and document an election or declination of offered travel protection. A Traveler who declines coverage accepts responsibility for losses that otherwise might have been eligible for coverage.
12. HEALTH, ACCESSIBILITY, AND SPECIAL REQUESTS
Travelers are responsible for determining whether they are physically and medically able to participate in the planned itinerary and activities. Travelers should disclose mobility, accessibility, dietary, or other accommodation requests early enough for STC to communicate them to the applicable Supplier.
STC will make reasonable efforts to communicate special requests but cannot guarantee that a Supplier, hotel, transportation provider, destination, or attraction can accommodate a particular request unless the responsible Supplier confirms it.
Travelers are responsible for medications, medical devices, prescriptions, required health documentation, and medical expenses not covered by an applicable insurance or protection plan.
Medical facilities, emergency services, accessibility standards, and health conditions may differ significantly from those in the Traveler's home community or country.
13. MINORS
Travelers under age 18 may be required to carry parental or guardian authorization, notarized consent, custody documentation, birth certificates, copies of identification, or other documents depending on the itinerary, destination, airline, cruise line, and family circumstances.
Parents or legal guardians are responsible for ensuring that a minor has all documentation required for travel. STC may require a separate Minor Travel & Parental Consent Form and may require additional destination-, Supplier-, school-, or activity-specific forms.
Additional conduct, supervision, rooming, curfew, buddy-system, free-time, and chaperone requirements may apply to group trips involving minors.
14. GROUP TRAVEL RULES, CONDUCT, AND SAFETY
Travelers must conduct themselves in a respectful, responsible, and lawful manner and comply with applicable laws, Supplier rules, safety instructions, hotel rules, group schedules, meeting times, and reasonable directions from group leaders, tour directors, guides, transportation providers, emergency personnel, and other responsible personnel.
Harassment, threats, violence, bullying, discriminatory conduct, theft, intentional property damage, illegal activity, or other materially disruptive behavior is not permitted. Travelers are responsible for damage, excessive cleaning, unauthorized charges, or other expenses attributable to their conduct.
Travelers must comply with applicable laws and Supplier rules concerning alcohol, cannabis, controlled substances, and other drugs. Illegal drug possession or use, underage drinking, providing alcohol to minors, or conduct creating a safety risk because of intoxication or impairment may result in removal from an activity or trip.
Travelers are responsible for being on time for scheduled departures, tours, transfers, and meeting times. If a Traveler misses a group departure or activity because they are late or absent, the Traveler may be responsible for the cost of rejoining the group and any resulting expenses.
Some itineraries include free time during which Travelers may not be continuously supervised or accompanied by STC personnel. During free time, Travelers are responsible for personal safety, remaining aware of group contact and meeting information, evaluating independent activities, and returning by required meeting times.
Optional or independently purchased activities may not be arranged, evaluated, supervised, or endorsed by STC. Travelers are responsible for evaluating whether they are capable of safely participating and for following the provider's rules and safety instructions.
A Traveler whose conduct is unsafe, illegal, threatening, seriously disruptive, or materially interferes with the group or travel program may be restricted or removed from an activity or trip by the applicable Supplier, group leader, tour director, venue, transportation provider, or other responsible party. The Traveler may be responsible for transportation, lodging, meals, change fees, and other expenses resulting from such conduct, to the extent permitted by law.
Travelers are responsible for safeguarding passports, identification, money, cards, medications, luggage, electronics, and other personal property and should promptly report significant safety incidents, loss of travel documents, theft, serious illness, or injury to the appropriate person or authority.
15. INTERNATIONAL TRAVEL RISKS AND ASSUMPTION OF ORDINARY TRAVEL RISKS
Travel involves inherent and sometimes unpredictable risks, including transportation accidents and delays; illness or injury; infectious disease; crime or theft; severe weather; natural disasters; strikes; civil unrest; political events; terrorism; changes in government requirements; differing safety, accessibility, and medical standards; food- or water-related illness; altitude, heat, cold, terrain, water, wildlife, and other environmental conditions; and delays or limitations in obtaining emergency or medical assistance.
By choosing to travel, the Traveler acknowledges and accepts the ordinary and inherent risks associated with the itinerary, destinations, transportation, accommodations, excursions, activities, and domestic or international travel.
Travelers are responsible for reviewing destination-specific information and current travel advisories from appropriate government sources and for making their own informed decision to travel.
A separate Traveler Release, Waiver & Assumption of Risk may be required for certain group, international, educational, or activity-based trips. If required, that document supplements these Terms.
16. FORCE MAJEURE AND EVENTS BEYOND CONTROL
STC is not responsible for failure, delay, cancellation, modification, or additional expense caused by circumstances beyond its reasonable control, including severe weather, natural disasters, acts of government, war, terrorism, civil unrest, epidemics or pandemics, strikes, transportation disruptions, Supplier insolvency or default, airport closures, schedule changes, or other force majeure events.
When such an event occurs, STC will make reasonable efforts to assist Travelers with available alternatives, subject to Supplier availability and terms. Travelers remain responsible for additional costs not refunded, reimbursed, or covered by a Supplier or travel protection plan.
17. THIRD-PARTY SUPPLIER PERFORMANCE
STC is not liable for the negligent or willful acts, omissions, insolvency, bankruptcy, default, delay, cancellation, or failure to perform of an independent Supplier, except to the extent liability cannot lawfully be excluded.
Complaints concerning a Supplier's services should be raised as soon as reasonably possible so that the Supplier and STC have an opportunity to address the issue.
18. CHARGEBACKS AND PAYMENT DISPUTES
Before initiating a payment dispute or chargeback, Travelers agree to contact STC promptly regarding any disputed charge so that the parties can attempt to resolve the issue and determine whether Supplier cancellation or refund rules apply.
A chargeback does not override valid Supplier or STC cancellation terms. STC reserves all rights to provide booking records, authorizations, cancellation terms, and other relevant documentation in response to a payment dispute.
19. TRIP-SPECIFIC TERMS
Certain group trips, cruises, tours, custom itineraries, educational programs, or Supplier packages may have terms that differ from these general Terms. STC may provide a Trip-Specific Terms & Pricing Acknowledgment or display trip-specific terms during website registration identifying items such as total price, deposit, final-payment deadline, cancellation schedule, airfare terms, Supplier, and travel-protection options.
By signing, electronically accepting, authorizing payment, or making a deposit toward the booking, the Traveler accepts the applicable trip-specific and Supplier terms.
20. WEBSITE REGISTRATION, ELECTRONIC ACCEPTANCE, AND INCORPORATED DOCUMENTS
STC may conduct enrollment, registration, acknowledgments, and payment electronically through its website, registration platform, electronic forms, email, or another electronic process. Checking an acceptance box, submitting a registration, electronically signing, authorizing payment, or making a deposit may constitute the Traveler's electronic acceptance of the applicable documents and terms.
For website registration, STC may incorporate documents by reference through clearly identified links or acknowledgments. Travelers are responsible for opening and reviewing linked documents before accepting them.
The normal enrollment process may include: (a) these Booking Terms & Conditions; (b) the trip-specific price, payment schedule, cancellation terms, and Supplier terms; (c) a documented travel-protection election or declination; and (d) a Traveler Release, Waiver & Assumption of Risk when required for the trip.
Additional forms may be required only when applicable, including a Minor Travel & Parental Consent Form, Group Leader / Chaperone Agreement, Supplier-specific form, or activity-specific waiver.
STC may retain electronic records showing the date, time, booking, version of terms, selections, and other evidence of acceptance. A Traveler should save or print copies of documents accepted during registration.
21. GOVERNING LAW, DISPUTE RESOLUTION, AND VENUE
These Terms and any dispute arising out of or relating to travel services provided by Stone Travel Company, LLC shall be governed by and construed in accordance with the laws of the State of North Dakota, without regard to its conflict-of-law principles, except where applicable federal law or the terms of a travel Supplier require otherwise.
Before commencing legal proceedings, the Traveler and STC agree to make a good-faith effort to resolve the dispute informally. The Traveler must provide STC with written notice describing the dispute and allow STC a reasonable opportunity to respond and attempt to resolve the matter.
If the dispute cannot be resolved informally, the parties agree that any legal action arising from or relating to services provided by STC shall be brought in a court of competent jurisdiction in Williams County, North Dakota, to the extent permitted by applicable law.
Nothing in this section prevents either party from pursuing any remedy or right that cannot lawfully be waived or restricted.
22. SEVERABILITY AND ENTIRE AGREEMENT
If any provision of these Terms is determined to be invalid or unenforceable, the remaining provisions will remain in effect to the extent permitted by law.
These Terms, together with applicable trip-specific terms, booking confirmations, written or electronic authorizations, and Supplier terms provided or made available to the Traveler, constitute the terms governing the travel arrangements booked through STC. No oral statement modifies these Terms unless confirmed in writing by STC.
23. TRAVELER ACKNOWLEDGMENT
By signing, electronically accepting, authorizing payment, submitting a registration, or making a deposit toward a booking, the Traveler acknowledges that they have had an opportunity to review these Terms; understand that travel arrangements may be subject to additional Supplier and trip-specific terms; and agree to be bound by the applicable terms.
The Traveler further acknowledges responsibility for reviewing booking confirmations for accuracy, complying with passport, visa, ETA, transit, health-document, conduct, and safety requirements, and making an informed decision regarding travel protection.
If the Traveler is a minor, a parent or legal guardian may be required to accept these Terms and complete additional parental-consent documentation on the minor's behalf.
